Drivers use MuckMate on a smartphone (iOS or Android) or tablet to receive job notifications, capture signatures and photos, and update job status. Any reasonably modern device will work. No. There are no setup fees, no hidden costs, and no long-term contracts. You pay a simple monthly subscription based on the number of trucks in your fleet. The only extras are optional add-ons for additional trucks (£40/month) or additional daily sub-contractors (£8.67/month) beyond your plan's allowance.
Driver tablets are available as an optional add-on on all plans. Pricing depends on the number of tablets you need and whether you prefer to purchase outright or lease monthly. Contact us for a tailored quote — each tablet comes fully set up with MuckMate, a vehicle mount, case, and SIM/data included.
Yes, you can change your plan at any time. Upgrades take effect immediately. Downgrades take effect at the start of your next billing period. There are no penalties or fees for changing plans.
You can cancel at any time with no penalty. Your subscription will remain active until the end of the current billing month. After that, you can request a data export of all your job records, invoices, and WTNs within 30 days of cancellation.
No — all prices shown are exclusive of VAT. VAT will be added at the applicable rate (currently 20%) at checkout.
MuckMate integrates directly with the DEFRA Digital Waste Tracking (DWT) service. When a job is completed with the relevant waste information (EWC code, weights, site details, carrier registration), you can submit the digital Waste Transfer Note to DEFRA with a single click. You'll receive a tracking ID confirming receipt.
Under the DEFRA Digital Waste Tracking system, digital WTNs submitted through approved platforms like MuckMate replace the need for paper copies. MuckMate stores all your WTN records electronically for the legally required period, giving you a complete audit trail at any time.
MuckMate includes the full European Waste Catalogue (EWC) code library. Common codes used in earthworks and muckaway (such as 17 05 04 for excavated material) are pre-configured for easy selection. You can also enter custom EWC codes and add multiple codes to a single job where required.
Yes. You can store your company's carrier registration number and waste permit details in MuckMate. These are automatically included on all generated WTNs and delivery tickets to ensure every document is fully compliant. Sub-contractor carrier registrations and waste carrier licences are also tracked with expiry alerts.
From the admin dashboard you can generate a secure magic link or short access code for any client. They open the link (or enter the code on our portal page) and instantly see their own job dashboard — live job status, job history, invoices, waste transfer notes, and delivery photos. You can create all-sites links or site-specific links, and deactivate access at any time. No login or password required for the client.
MuckMate has full sub-contractor management. You add sub-contractor companies, register their drivers and vehicles, and assign jobs to them. Sub-contractors get their own portal — accessed via a company access code or per-driver code — where their drivers can view assigned jobs, update status, capture signatures, photos, and weigh bridge weights. Sub-contractor costs are tracked separately for accurate job profit calculations, and compliance documents (insurance, operator licences, waste carrier licences) are stored with expiry alerts.
Yes. For regular collections or deliveries, you can set up recurring jobs on a daily, weekly, or monthly basis. Jobs are automatically created on the scheduled date and added to your job list — no manual input required each time.
You set material prices per customer, per site, or globally — with per-tonne, per-load, per-day, or fixed pricing. When you create a job, MuckMate automatically resolves the correct price based on the customer, site, and material, calculates the job cost, and applies VAT and nominal codes. You can also manually override prices with a recorded reason if you've agreed a special rate.
Drivers use the touchscreen on their phone or tablet to capture a digital signature from the site contact at both collection and delivery. The signature is GPS-stamped, time-stamped, and linked to the job — providing an irrefutable electronic Proof of Delivery (ePOD) or Collection (ePOC).
Yes. Drivers log their arrival and departure times at collection and delivery sites. MuckMate calculates chargeable waiting time automatically based on your rules, and admins can review, adjust, and approve waiting time before invoicing. Full audit trails are kept for any admin adjustments.
MuckMate has offline capability for drivers. If a driver loses signal on site, they can still view their assigned jobs, capture signatures, and take photos. All data syncs automatically as soon as connectivity is restored.
Yes. MuckMate has dedicated heavy transport and plant hire features — track machine specs (weight, dimensions), load types (standard or abnormal), trailer and vehicle requirements, permits, escorts, police notifications, restricted travel times, and night transport. Plant hire jobs can have hire start and end dates with automatic scheduling.
Yes. MuckMate integrates directly with Xero accounting software. Once connected, you can sync invoices from MuckMate to Xero with a single click — including line items, customer details, and nominal codes. Two-way sync keeps your accounts up to date without manual data entry.
Yes. MuckMate has a customer import tool that reads Excel and CSV files. You can bulk import customers with all their details — company name, address, contact info, invoicing preferences, and payment terms — saving hours of manual entry.
Yes. MuckMate supports integration with Scania and Volvo telematics dashboards, syncing vehicle positions, statuses, alerts, driving time, and vehicle evaluations directly into your fleet view. This gives you a unified picture of your fleet alongside your job data.
All data is stored securely in the cloud using enterprise-grade infrastructure. Data is encrypted in transit and at rest. We use UK/EU-based servers to ensure compliance with UK GDPR.
Only users within your company can access your data. Admin users can see all jobs and reports. Drivers only see the jobs assigned to them. Sub-contractors only see their own assigned jobs. Clients only see their own jobs via their portal link. We do not share your data with third parties except where required by law (e.g. DEFRA).
Yes. MuckMate is designed to be fully compliant with UK GDPR. We act as a data processor on your behalf and have a Data Processing Agreement available on request. See our Privacy Policy for full details.
We provide support via email and phone during business hours (Mon–Fri, 8am–6pm). For urgent issues, call us directly on 0161-531-2505. All subscription plans include full support — there are no "premium support" upsells.
Yes. As part of onboarding, we walk you through the system with your admin team and provide driver training materials. If you've ordered driver tablets, we include a full walkthrough so your drivers are confident from day one. The platform is designed to be intuitive — most drivers are comfortable using it within their first shift.
